African Community Housing & Development (ACHD) is a community-founded organization led by African Diaspora with the mission of achieving equitable health, housing, economic development, as well as legal and educational services for African-descent immigrant and refugee communities, families, and individuals in King County. ACHD’s vision is to have an informed African immigrant and refugee community that is engaged in the holistic development of their families, communities, and environment. ACHD achieves its goals through educating the community and sharing community-based tools to mitigate inequity. ACHD focuses on equitable and culturally relevant health, legal, and educational services; housing stability and economic development; and land-use, real estate, and property development.


ACHD understands the historical values and the importance of organizing, strengthening, and honoring collective wisdom. ACHD collaborates with many organizations working on similar goals throughout south King County, including community-based organizations, small business owners, parent groups, and coalitions. 


About the Position

The Office Manager will work closely with the Executive Director, Associate Director, Finance Director, and Program Director to manage and maintain all office facilities, as well as answer phones, direct clients to the appropriate staff member, ensure office operations and procedures are organized, correspondences are controlled, filing systems are designed, maintain files and records, and provide staff support with timesheets and purchase/reimbursement requests.


Essential Duties and Responsibilities include the following. 


  • Provide excellent customer service to clients entering ACHD offices, as well as direct them to the appropriate staff member.
  • Answer phones and log voicemail messages, working to forward inquiries to the appropriate staff member
  • Manage and maintain all office facilities, as well as ensure office compliance with COVID-19 policies
  • Monitor and order supplies and materials as needed
  • Support Finance Director with collecting timesheets, purchase requests/reimbursements, and invoices from contractors
  • Coordinate with contracted IT support to ensure computers and printers are functioning appropriately, troubleshooting minor IT issues as needed. 
  • organizing organizational events or conferences
  • ordering stationery and furniture
  • Attending leadership team meetings
  • Manage executives' schedules, calendars and appointments
  • Design and implement filing systems
  • Ensure filing systems are maintained and current
  • Establish and monitor procedures for record keeping
  • Ensure security, integrity and confidentiality of data
  • Design and implement office policies and procedures
  • Oversee adherence to office policies and procedures
  • Analyze and monitor internal processes
  • Implement procedural and policy changes to improve operational efficiency
  • Coordinate schedules, appointments and bookings
  • Monitor and maintain office supplies inventory
  • Review and approve office supply acquisitions
  • Handle client inquiries 
  • Manage internal staff relations
  • Maintain a safe and secure working environment

Education and/or Experience:

At least 3 years of experience in office management, ideally in a nonprofit setting. Degree preferred but not required.


Certificates, Licenses, or Registrations:

None


Computer Skills: 

To perform this job successfully, an individual should have knowledge of Microsoft Office Suite, particularly Excel, as well as Quickbooks. Applicants familiar with grant and reporting software, such as Zoomgrants, are preferred. 


Language Requirements:

Fluency in English required and one or more of the following preferred: Somali, Amharic, Tigrinya, or Swahili.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is regularly required to sit at a desk for long  periods of time. May occasionally be required to lift heavy materials. 


Work Environment: 

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is regularly in an office setting. Note that the environment is an open office in a quickly growing nonprofit. Applicants should be comfortable working in a startup atmosphere.
