About the Position

The Database & IT Administrator serves as the steward of the organization’s cloud-based case management database, Apricot, including staff training, data management, and report generation. This position is vital to ACHD’s success as we ensure compliance with internal and external reporting requirements. This position will also manage the organization’s IT needs, including inventory management, license management, and network administration.


Essential Duties and Responsibilities include the following. 

  • Collaborate with ACHD staff and consultants to improve and maintain Apricot database used regularly by program staff to track program participants across ACHD programs
  • Use Apricot to create and improve reports synthesizing data for use by funders and staff to meet reporting requirements and evaluation needs
  • Work closely with staff to design and support data collection, cleaning, and storage processes to facilitate their evaluation of ACHD programs
  • Train and support program staff and stakeholders in efficient use of Apricot
  • Support selection, implementation, and usage of technology tools and software
  • Support Department Heads in providing timely, accurate, and comprehensive financial and client-level reports to meet funder and contractual obligations
  • Collaborate with Program Managers to build program intake forms and analyze performance metrics
  • Maintain selected data sources and implement regular updates to ensure data quality
  • Track and manage records and daily activities, while ensuring confidentiality of clients
  • Troubleshoot and problem-solve technological issues
  • Continuously seek to improve technological position of the organization while respecting budgets
  • Support overall IT health of the organization, including inventory management, license management, and network administration


Required Qualifications:

  • Two or more years working with database systems, especially in a case management/CRM context
  • Proficiency in Microsoft Office, especially Excel, Word, and Outlook
  • Two or more years experience in IT work such as inventory management, license management, network administration, etc
  • Competent in network administration
  • Ability to translate complex technical ideas into everyday, understandable language
  • Strong organizational and communication skills
  • Ability to handle multiple tasks and demands, establish priorities, manage deadlines, and work effectively in a energetic environment
  • Calm under pressure; ability to approach problems with patience
  • Lifelong learner; constantly seeking out new skills and improving current abilities
  • Bachelor’s Degree in computer science, electrical engineering, IT management, information sciences, or related field


Preferred Qualifications:

  • Familiarity with nonprofit IT and database needs
  • Familiarity with Apricot database system
