About the Organization:

African Community Housing & Development (ACHD) is a culturally-specific, community-founded organization led by visionary Black women and a community Board of Directors. ACHD works towards an informed African Diaspora immigrant and refugee community that is engaged in the holistic development of families, communities, and environment. ACHD focuses on equitable and culturally-relevant health, legal, and educational services; housing stability and economic development; and land-use, real estate, and property development. ACHD staff speak a collective 12 languages, and the majority identify as BIPOC.

About the Position: 

The Operations Manager will work closely with the Executive Director, Associate Director, Finance Director, and Program Directors to manage and maintain all SeaTac office operations, including client communication, facilities management, reception/front desk duties, and office operations and procedures. This position will ensure that ACHD is organized, design filing systems, manage files/records/communications, and provide staff support with timesheets and purchase/reimbursement requests. 


Depending on the skills and interests of the hired candidate, this position may also serve as Executive Assistant to the Executive Director and other leadership staff as needed, as well as Human Resources support. 


Job Duties: 

  • Continuously improve systems and procedures to ensure ACHD staff and facilities are operating at an optimal level 
  • Provide excellent customer service to clients entering ACHD offices, and direct them to the appropriate staff member or help them schedule an appointment 
  • Answer phones and log voicemail messages, working to forward inquiries to the appropriate staff member 
  • Manage and maintain all office facilities, as well as ensure office compliance with COVID-19 policies 
  • Monitor and order supplies and materials as needed, including stationery and furniture; monitor and maintain office supplies inventory 
  • Support Finance Director with collecting timesheets, purchase requests/reimbursements, and invoices from contractors 
  • Support Associate Director with Human Resources documentation and processes 
  • Coordinate with IT support to ensure computers and printers are functioning appropriately, troubleshooting minor IT issues as needed.  
  • Manage Executive Director’s schedule, calendar, and appointments 
  • Design and implement filing systems, and ensure filing systems are maintained and current 
  • Establish and monitor procedures for record keeping 
  • Ensure security, integrity and confidentiality of data 
  • Design and implement office policies and procedures, and oversee adherence to office policies and procedures 
  • Implement procedural and policy changes to improve operational efficiency 
  • Maintain a safe and secure working environment 


Required Qualifications: 

  • At least 2 years of experience in office management, administration, human resources, or executive/personal assistant work, ideally in a nonprofit setting 
  • Proficient in Microsoft Office suite, especially Outlook, Excel, and Word 
  • Ability to handle multiple tasks and demands, establish priorities, manage deadlines, and work effectively in a energetic environment 
  • Excellent time management skills; reliable and punctual 
  • Strong interpersonal and written communication skills 
  • Experience working respectfully with diverse communities, including non-English speakers 
  • Excellent customer service skills and grace under pressure 


Preferred Qualifications: 

  • Bachelor's degree  
  • Knowledge of Quickbooks and/or basic bookkeeping/accounting principles 
  • Experience with Monday.com or other project management software 
  • Fluency in a language other than English, especially Somali, Amharic, Tigrinya, or Swahili 

Supervisory Responsibilities:  This position has no supervisory responsibilities.
